Last updated (version 2026-10-16)

We're a small Discord community: we collect as little as we can and never sell it. Here's everything we keep.

The website

  • Just reading? You don't need an account, and we set no cookies. Like any website, our server logs see your IP address and browser (user agent).
  • Live updates. While the site is open, it keeps a connection to our server so changes show up without a reload. No cookie, nothing about you, nothing stored.
  • Signing in uses Discord, and we only ask for your basic profile (the "identify" scope). We keep your Discord ID, username, display name and avatar, and whether you're staff. We never see your password or email.
  • By signing in, you confirm you're 13 or older and agree to our Terms and this Privacy Policy. We record when you signed in and which version of the terms was current.
  • Usage statistics. The site counts which pages and buttons get used and where people get stuck, under random ids: never your name, Discord ID, IP address or browser, and never for admins. Switch it off in Cookie settings; nothing is sent if your browser sends Global Privacy Control or Do Not Track.
  • Cookies: two, for signing in. The Cookie Policy lists them, plus a few notes the site saves in your own browser.
  • Wiki edits (staff only) are saved with the editor's name.
  • Backups of the website are made nightly and kept for 14 days.

Players, reviews and staff

  • Player lists show who played each season of our shows and how they did, with each player's Discord name and avatar. Each player also gets a private wiki page, which staff may publish.
  • Reviews of a season you played are public, with your Discord name and avatar.
  • Staff are shown with the bio they write. Admins can keep notes about staff.
  • Profiles. To show these, our bot keeps each player's, reviewer's and staff member's Discord user ID, username, display name, avatar, banner, roles and join date in our server. The site keeps each person's latest avatar.
  • Bots we manage tell the site how many servers and users they have and how many commands they've run: counts only, nothing about anyone.

Our Discord bot

Our bot helps run the WelcomeTo Studios Discord server. It keeps:

  • Moderation logs, for staff only: deleted and edited messages (with text and images), name and role changes, and bans, kicks and timeouts.
  • Recent messages. To log deletions, the bot keeps a copy of recent messages (author, text and attachment links) for 14 days.
  • Community records: warnings, name history, XP and levels, tickets, and saved roles for when you rejoin.

Messages in untracked channels and in Admin tickets are never logged or kept.

Season archives

  • Archived channels show a notice when recording starts.
  • While a season records, its channels' messages are saved: text, files, voice messages, reactions and who reacted, plus your name, avatar, roles and name colour at the time, when you joined our server and which channels you could see.
  • When the season ends, anyone can read them on the Archives page.
  • Voice calls in a season's voice channels are recorded and transcribed by ElevenLabs, the service that makes the transcripts. Anyone who can see the season's archive can listen and read them. Joining a season means agreeing to this.
  • Delete your message and it leaves the archive too, even after the season ends. For anything else, ask staff in our Discord.

How long we keep things

  • Your website account: until you delete your data.
  • Sign-in sessions: end after 7 days unused, or after 30 days at most.
  • Server logs: up to 90 days.
  • Usage statistics: 90 days.
  • Website backups: 14 days.
  • The bot's copy of recent messages: 14 days.
  • Player lists, player pages, reviews, staff bios and profiles: until staff remove them.
  • Moderation logs, warnings, name history, XP, tickets and saved roles: until staff remove them.
  • Published season archives: until staff remove them.

Who sees it

  • We don't sell your data or show ads.
  • Staff see the moderation logs and tickets. Members of our server see things like the leaderboard, and anyone can read the wiki, published archives, player lists, reviews and staff bios.
  • Discord hosts our community and handles sign-in, under its own Privacy Policy.
  • ElevenLabs transcribes season voice calls for us.
  • Our hosting provider stores the data for us.

Your choices

  • Website data: sign in and use Delete my data in the account menu; there's no download.
  • Delete my data anonymizes your account data for good: your account, sessions and staff bio are deleted, and your profile, reviews and seasons played stay under a made-up name (like "Surfer Dan") and a default picture. Nobody, staff included, can undo it. The season archives and the wiki, your player page included, are kept as records, unchanged, under the name you had. Staff's log notes the request. Backups keep old copies for 14 days. Signing in again starts fresh.
  • Anything else, like what the bot keeps or a message in an archive: ask us in our Discord.

Children

We don't knowingly collect data from children under 13, and delete any we find. Parents can contact us in our Discord.

Changes

When this policy changes, we update the date at the top.
